Getting started

What is inbox.ky?

inbox.ky is Cayman-owned email — private, ad-free, and run on-island. Your mail is never mined, profiled, or sold. You get a full mailbox at you@inbox.ky, webmail, and apps on all your devices.

How do I sign in to my email?

Open webmail.inbox.ky and sign in with your full email address (you@inbox.ky) and your password. That's your webmail — for reading and sending mail in a browser.

To manage your plan, invoices, forwarding and add-ons, use the account portal instead.

Webmail vs. the account portal — what's the difference?

Two different tools:

  • Webmail — read, write and organise your email, contacts and calendar.
  • Account portal (this site) — your subscription, invoices, referrals, forwarding, aliases and storage add-ons.

You sign in to both with the same email and password.

Setting your password for the first time

When you first sign in to the account portal, you may be asked to choose a new password. Enter your temporary password, then pick a strong new one (at least 8 characters). That password then works for both the portal and webmail.

How do I check for new mail?

New mail arrives automatically while webmail is open. To force a check, click the refresh icon above your message list, or reload the page. Unread messages show in bold with a count next to each folder.

How do I mark messages as spam (or not spam)?

Select one or more messages and click Spam (or right-click → Mark as spam). They move to the Spam folder and future mail from that sender is filtered.

If something legitimate landed in Spam, open the Spam folder, select it, and click Not spam — it returns to your Inbox and the sender is trusted going forward.

Marking messages read/unread and flagging

Select messages and use Mark as read / unread to change their status without opening them. Add a flag (star) to mark something you want to come back to — flagged mail can be sorted and found quickly.

Deleting messages

Select a message and click Delete (or press Delete). It moves to Trash. To remove it permanently, empty the Trash folder. Deleting is per-message — nothing else is affected.

Organising with folders

Beyond the system folders (Inbox, Sent, Drafts, Spam, Trash) you can add your own:

  1. Right-click a folder (or the account name) and choose Add new folder.
  2. Name it and save.
  3. Drag messages into it, or select messages → Move → pick the folder.

You can rename, empty or delete your own folders the same way.

Auto-sorting mail with filters (rules)

Filters automatically act on incoming mail — file it, flag it, or mark it read.

  1. Go to Settings → Filters.
  2. Add a rule: choose a condition (e.g. From contains newsletters@…) and an action (e.g. Move to folder “News”).
  3. Save. Rules run top to bottom on new mail.
Plus-sign (+) tagging

Give any service its own address by adding +something before the @, e.g. you+shopping@inbox.ky. Mail still arrives in your inbox, but you can filter on the tag — and if it ever starts getting spam, you know exactly who leaked it.

Finding a specific message

Use the Search box above the message list. Search by sender, subject or words in the body, and narrow to a folder or date range. Press Enter to run it.

Sending mail

Compose and send a message
  1. Click Compose (or New).
  2. Add recipients in To (and Cc/Bcc if needed), a Subject, and your message.
  3. Click Send. A copy is saved in Sent.
Reply, reply all, or forward

Open a message and choose Reply (sender only), Reply all (everyone), or Forward (send it on to someone new). Forwarded messages keep their attachments.

Attaching files

In the composer, click the paperclip and pick your file — or drag it onto the message. Add several at once. Wait for each to finish uploading before you send.

Is there a size limit for emails?

Yes — most mail providers cap a single message (text + attachments) at around 25 MB. For anything larger, share a link (e.g. a cloud drive) instead of attaching the file.

Add an email signature

Go to Settings → Identities (or Signature), type your signature, and choose to add it automatically to new mail and replies. You can format it and include links.

Set up mail on your phone or computer

Use inbox.ky in Apple Mail, Outlook, the iPhone/Android mail app and more.

Your mail server settings (IMAP & SMTP)

Enter these in any mail app. Use IMAP (recommended — keeps every device in sync):

Use mail.a.hostedemail.com as the server name (not mail.inbox.ky) so the secure-connection certificate matches.

iPhone & iPad
  1. Settings → MailAccountsAdd AccountOtherAdd Mail Account.
  2. Enter your name, you@inbox.ky, password, description → Next.
  3. Choose IMAP. For both Incoming and Outgoing servers, use host mail.a.hostedemail.com, username you@inbox.ky, and your password.
  4. Save. iOS uses SSL on the standard ports automatically.
Android (Gmail app or others)
  1. Mail app → Add accountOther → enter you@inbox.ky.
  2. Choose Personal (IMAP).
  3. Incoming server: mail.a.hostedemail.com, port 993, security SSL/TLS.
  4. Outgoing server: mail.a.hostedemail.com, port 465 (SSL/TLS), sign-in required.
Apple Mail (Mac)
  1. Mail → SettingsAccounts+Other Mail Account.
  2. Enter your name, you@inbox.ky and password.
  3. If asked for server details, use mail.a.hostedemail.com for both incoming (IMAP) and outgoing (SMTP), with your full address as the username.
Outlook
  1. File → Add Account → enter you@inbox.kyAdvanced setup / Let me set up manuallyIMAP.
  2. Incoming: mail.a.hostedemail.com, port 993, SSL/TLS.
  3. Outgoing: mail.a.hostedemail.com, port 465 (SSL/TLS) or 587 (STARTTLS).
  4. Enter your password and finish.
Thunderbird

Add a new account with your name, you@inbox.ky and password. Thunderbird usually finds the settings automatically — if not, set IMAP, server mail.a.hostedemail.com, port 993 SSL/TLS incoming and 465 SSL/TLS (or 587 STARTTLS) outgoing.

Using an app password (if you have 2-factor on)

If you've enabled two-factor authentication, mail apps need an app-specific password instead of your normal one. In webmail go to Settings → External access (or App passwords), create one, and use it as the password in your mail app.

Contacts & calendar

Adding a contact

Open the Contacts tab and click Add contact. Fill in the name, email and any other details, then save. You can also add a sender to Contacts straight from an open email.

Contact groups

Create a group to email several people at once. In Contacts, add a group, give it a name, then add contacts to it. Email the group name and everyone in it receives the message.

Importing contacts

Yes — export your contacts from your old provider as a CSV or vCard (.vcf) file, then in Contacts choose Import and upload it.

Adding a calendar event

Open the Calendar tab, click a day/time or New event, add a title, time and any guests, then save. Edit or delete an event by clicking it.

Forwarding & aliases

Set up email forwarding

The easiest way is the account portalForwarding: enter the address to deliver copies to and save.

You can also do it in webmail under Settings → Mail forwarding. Choose whether to keep a copy in your inbox as well.

What is an alias (extra address)?

An alias is an extra address that delivers into your existing mailbox — like hello@inbox.ky or a family name — without a separate login or inbox. Great for keeping roles or people tidy, and for privacy (a different address per service).

Add aliases from the account portal under Add-ons.

Vacation / out-of-office auto-reply

In webmail go to Settings → Autoresponder. Turn it on, set the start and end dates and your message, and save. Everyone who emails you gets your reply once until you turn it off.

Your account & billing

Managing your plan and payment

Sign in to the account portal to see your plan, payment status and options. Your subscription and any add-ons are shown under Plan & billing.

Viewing your invoices

In the account portal, open Invoices to see your billing history. Each invoice can be downloaded as a PDF.

Refer & earn — free months

Share your referral link from the account portalRefer & earn. When a friend signs up and pays, you get a free month — up to six.

Extra storage & add-ons

Need more space? Add +10 GB storage blocks from the account portalAdd-ons, up to 50 GB total. You can also add extra aliases there.

When am I billed?

New accounts bill monthly on your sign-up date (your billing anniversary) rather than the 1st of the month. Your next billing date is shown in the account portal.

Password & security

Change your password

In webmail go to Settings → Password, enter your current password and a new one, and save. Use a strong, unique password. This updates both webmail and the account portal.

Forgot your password?

If you've set up password recovery in webmail (Settings → Password recovery), use the recovery option on the sign-in screen. Otherwise email help@inbox.ky and we'll reset it for you.

Allowed & blocked senders

In webmail Settings → Spam settings you can add addresses to an allowed list (never treated as spam) or a blocked list (always filtered).

Keeping your account safe
  • Use a long, unique password you don't use anywhere else.
  • Turn on two-factor authentication if available, and use app passwords for mail apps.
  • inbox.ky will never ask for your password by email. If in doubt, email help@inbox.ky.
